This Cancellation & Refund Policy explains how deposits, payments, cancellations, rescheduling, weather issues, and refunds are handled for bookings with The Bloom Square.

By submitting a booking request, paying a deposit, making a payment, or confirming services with The Bloom Square, you agree to this Cancellation & Refund Policy.


1. Booking Deposits

A deposit is required to secure your event date.

Your event date is not confirmed until The Bloom Square receives the required deposit and confirms your booking in writing.

Deposits are used to reserve the date, prepare for the event, schedule labor, block availability, and cover administrative time.

All deposits are non-refundable.


2. Final Payment

Any remaining balance must be paid by the deadline listed on your invoice, booking confirmation, or service agreement.

If the final payment is not received by the required deadline, The Bloom Square may cancel the booking and retain the deposit.

The Bloom Square is not responsible for providing services if payment is incomplete or late.


3. Client Cancellations

If you need to cancel your booking, you must notify The Bloom Square in writing by email or text message.

Cancellation terms are as follows:

Deposits are non-refundable.

Cancellations made 14 or more days before the event may receive a refund of any amount paid above the deposit.

Cancellations made 7 to 13 days before the event may receive a partial refund of any amount paid above the deposit, at the discretion of The Bloom Square.

Cancellations made within 6 days of the event are not eligible for a refund.

Same-day cancellations and no-shows are not eligible for a refund.

Refunds are not guaranteed once event preparation, scheduling, delivery planning, staffing, or custom work has begun.


4. Rescheduling

Rescheduling may be allowed based on availability.

If you need to reschedule, you must contact The Bloom Square as soon as possible.

Rescheduling is subject to:

Availability of the new event date

Written approval from The Bloom Square

Any additional travel, labor, or service fees

The package and services originally booked

Deposits may be transferred to a new date one time only if The Bloom Square approves the reschedule in writing.

If the new date is unavailable, the original cancellation terms will apply.


5. Weather and Outdoor Events

Outdoor events are accepted at the client’s risk.

The Bloom Square reserves the right to refuse, delay, modify, or cancel outdoor setup if weather or site conditions are unsafe or could damage equipment.

Unsafe conditions may include, but are not limited to:

Rain

Heavy wind

Flooding

Lightning

Unstable ground

Excessive heat

Unsafe setup surfaces

Lack of proper coverage or protection

If weather affects the event, refunds are not guaranteed.

Clients are responsible for providing a safe, covered, and stable setup location when needed.


6. Venue or Access Issues

The client is responsible for making sure The Bloom Square has safe and timely access to the venue or event location.

The client must provide accurate details, including:

Venue name

Full address

Setup location

Event start time

Access instructions

Parking or loading information

Venue restrictions

Contact person on-site

Refunds will not be issued for delays, failed setup, or service issues caused by incorrect information, restricted access, lack of parking, venue refusal, locked gates, missing contacts, or other access problems outside the control of The Bloom Square.


7. Late Changes

Changes to your booking may not be guaranteed after confirmation.

Late changes may include:

New event location

New setup time

Extended rental time

Outdoor setup changes

Package changes

Add-ons

Custom requests

Additional fees may apply for approved changes.

The Bloom Square reserves the right to decline changes that cannot be reasonably accommodated.


8. Refund Processing

Approved refunds will be processed back to the original payment method when possible.

Refund processing times may vary depending on the payment processor, bank, or card issuer.

The Bloom Square is not responsible for delays caused by banks, payment processors, or third-party platforms.

Processing fees charged by third-party payment processors may be non-refundable.


9. Cancellations by The Bloom Square

The Bloom Square reserves the right to cancel or refuse service if:

Payment is not received on time

Event details are false, incomplete, or inaccurate

The setup location is unsafe

Weather conditions create unsafe setup conditions

Venue restrictions prevent setup

The client violates our Terms of Service

The client or guests engage in threatening, abusive, or unsafe behavior

Equipment is at risk of damage

If The Bloom Square cancels due to circumstances within our control, the client may receive a refund of payments made.

If The Bloom Square cancels due to client actions, unsafe conditions, venue issues, weather, or circumstances outside our control, refunds are not guaranteed.


10. Force Majeure

The Bloom Square is not responsible for cancellation, delay, or failure to perform due to events beyond our reasonable control, including but not limited to:

Severe weather

Natural disasters

Road closures

Accidents

Power outages

Government restrictions

Venue shutdowns

Illness

Emergencies

Acts of God

If a force majeure event occurs, The Bloom Square will make reasonable efforts to reschedule or offer available options. Refunds are not guaranteed.


11. Custom Orders and Special Requests

Custom work, special orders, personalized items, signage, materials, or add-ons may be non-refundable once purchased, prepared, or started.

If custom items are required for your event, payment for those items may be due in advance and may not be refundable.


12. Agreement to This Policy

By booking with The Bloom Square, submitting payment, or using our services, you confirm that you have read, understood, and agreed to this Cancellation & Refund Policy.
